Editing Calendar Permissions
You may find that you need to view someone else's calendar via Outlook. As a firm we have the default settings (with certain exceptions) set so that one user can only view if someone is Busy or Free. To change this we ask that the Requester who wants to see more about another's calendar requests access from the directly from the Grantor. For example if John Doe (the requester) needs to be able edit Jane Doe's (the grantor) calendar, John will need to ask Jane to edit his permissions to view their calendar. Below are instructions on what both the Requester and the Grantor need to do:
Requester will need to:
- Right click on the Shared Calendars section in the Outlook Calendar.
- Click Add Calendar
- Click From Address Book...
- Double Click on the Grantor's Name
- Click Ok
Grantor will need to:
- In the Outlook Calendar, select the Folder tab at the top of the window
- Click Calendar Properties
- On the new window, select the Permissions tab
- If the Requester's name is already in the list under Currently Sharing with:, then skip to step 7 otherwise click Add...
- Double click on the Requester's name
- Click Ok
- Select the Requester's Name
- Under the Permissions section the window select the appropriate permissions levels. Below are the descriptions of each.
- None: This will make it so the Requester can't view anything. Not even if you are busy or free. Not recommended.
- Can view when I'm busy: Will see when there are appointments on the calendar but it will only say Busy, Free, Tentative, or even Out of the Office based on the Show as status of the appointment. They will not be able to see the title of the appointment.
- Can view titles and locations: Like the previous one the Requester can see each of the Grantor's appointments but now they can see the titles and locations of appointments but cannot open the appointment to view the notes of the appointment.
- Can view all details: Same as the previous one in that you can see the title and location but now can open the appointment and view the notes about the appointment. The requester will not be able to edit anything about the calendar
- Can Edit: The Requester can view all details. Can edit the details of every appointment and even add or delete appointments directly to and from the calendar.
- Delegate: Can edit the Grantor's calendar and will receive notifications about all appointments and be able to accept them for the Grantor. DO NOT USE THIS ONE. This can cause a lot issues as if the requester can accept appointments for the Grantor and cause the notifications to disappear from the Grantor's inbox.
