Financial Transactions Log in Clever Case
At A Glance
Transactions for each matter and client are available for viewing in the "Financial Transactions" log, which details each time we credited (added money to) an account or invoice and debited (withdrew money from) an account or invoice. These transactions could be against the matter, the client, or the specific invoice.
Frequently Asked Questions
- How do I get to the Financial Transactions page?
Open the client or matter in question, then scroll down to Accounting -> Financial Transactions - Why can't I see all the transactions?
If you pull up the Financial Transactions page, you will see something different depending on what page you're on. If you're on the matter page, you'll see transactions related to that matter specifically (invoice payments, writeoffs, etc.). If you're on the client page, you'll see transactions related to that client (likely trust related payments and utilizations). To get the full picture, you should read BOTH account transaction pages - the one for the client, and the one for the matter in question. - What is the difference between "Created By" and "Collected By"?
Created by lists who put the transaction in to Clever Case. Collected By will tell you who took the actual payment. In many cases, these will both be the same person - Why is Created By or Collected By listed as "N/A"?
If a payment came from our Gravity Legal payment system (say, by a client paying an invoice online), the system will not know who filled out the payment screen. Also, if an entry was imported in, we marked those as "N/A" - What are these "Legacy Import" transactions?
In the past, we created invoices in Clever Case but kept track of their payment using our accounting system Xero. We brought over all the payments in an import in Winter/Spring 2023, and those payments were listed as "Legacy Import" payments. For more information about these transactions, please reach out to the Finance Team to check Xero
