Adjusting Sent Invoices & Changing the Balance Due

Overview

Changes occasionally will need to be made to existing client invoices, or to the clients owing balance as a whole. Adjusting and updating invoices is a finance function   Common adjustments may include: 
  1. A flat fee client received an invoice for hourly time cards
  2. The client is owed a discount which wasn't properly reflected on the invoice
  3. An invoice was sent for a contingent matter
  4. The hourly rate on a matter was set incorrectly
  5. A good will credit for future work or against an owed balance

Revising an Invoice

Once an invoice has been sent from Clever Case, there is no way to adjust the invoice itself. You will need to open a ticket in Request Hub under the category "Statements and Invoices" > Change Existing Invoice. Provide as much information as possible and finance will work with you to ensure your client receives the corrected invoice and/or credit. 

Requesting Invoice Adjustments

Depending on the dollar value of the requested change, prior approval may be required before credits and adjustments are made.  To request a credit against your client's currently owed balance, or against their trust account, create a ticket in Request Hub using the below options: 
  1. Category: AR/Collections
  2. Give Credit
Once processed, the credit will be applied to the client's outstanding balance - oldest to newest, or to the specifically requested invoice.
